What we are, and what we’re not

Mistec Workflows isn’t a marketing agency. We don’t run your ads, manage your social media, or write your blog posts. We’re not a software company either—we don’t sell you a tool and disappear.

We’re workflow architects. We design and build the operational systems that run your home service business in the background—lead capture, response, qualification, dispatch, follow-up, and retention. The systems your team can’t keep up with manually, and the ones you don’t have time to figure out yourself.

Step 1 — The Workflow Audit (free, no pitch)

Every engagement starts with a free 30-minute audit. This isn’t a sales call dressed up as discovery. It’s an actual review of your current operation.

We look at where leads come in, what happens to them in the first 60 seconds, where the handoffs break down, what gets followed up, and what falls through. We map your current state — where revenue is leaking, where the team is over-leveraged, and which gaps cost the most.

You walk away with three things:

  • A clear picture of where your operation is bleeding revenue. Specific gaps, not vague advice.
  • A prioritized list of what to fix first. Sequenced by impact, not by what’s easiest to sell.
  • An honest answer about whether Mistec is the right fit. Sometimes it isn’t. We tell you when that’s the case..

If we are the right fit, the audit becomes the foundation of your custom build. Nothing about your operation gets guessed at—every workflow we design starts from what we found in the audit.

Step 2 — System design and build

Once you choose a tier, the build begins. Depending on the package, this takes 7 to 30 days from kickoff to a live system.

Here’s what actually happens during the build:

  • We configure your branded client portal—your domain, your colors, and your logo. Your team logs in to your system, not ours.
  • We build the pipelines that match how your business runs. Not generic templates — specific stages, specific automations, specific routing rules for your trade and your team structure.
  • We connect your phone, forms, email, and inbound channels into a unified intake layer.
  • We design the customer-facing communication flows—confirmations, reminders, follow-ups, and review requests—that are written in your voice and sent on your schedule.
  • We test every workflow before handoff. Real scenarios, real timing, real responses. Nothing goes live until it works.

You get progress updates throughout the build. No black box, no vague “we’re working on it” — you see what’s being built and how it fits together.

Step 3 — Launch and training

The day the system goes live isn’t the day you’re left to figure it out.

We train your team on what they need to know — and only what they need to know. CSRs learn the pieces that affect their job. Dispatchers learn theirs. Owners get the high-level dashboard view. No one sits through a 4-hour training on features they’ll never touch.

After launch, we tune. Real customer flow reveals things the build phase can’t predict — odd timing, unexpected lead sources, a workflow that needs a small adjustment. The first 30 to 90 days (depending on tier) include active optimization. That’s not “support” in the help-desk sense. It’s a workflow architect refining the system based on how your real operation uses it.


What you’ll notice in the first 30 days

Different operations see different gains, but the patterns are consistent:

  • Response time drops to under 60 seconds. Every lead — call, form, SMS — gets an automated response before a human even sees it.
  • Missed calls stop being missed. Voicemail revenue loss is essentially eliminated by the SMS recovery system.

What we won’t do

This part matters as much as what we will do.

  • We won’t oversell you. If your operation is small enough that Tier 1 covers it, we’ll tell you. We don’t bump you to Operations to pad the invoice.
  • We won’t disappear after launch. Every tier includes a real support window. Tier 3 includes ongoing optimization built into the monthly retainer.
  • We won’t lock you in. No long-term contracts beyond a 90-day initial commitment that protects the build investment. Cancel anytime after that, full data export, no penalty.
  • We won’t pretend we’re a software company. Mistec is a system, but it’s also a relationship with someone who knows your operation. You’ll work directly with the architect — me — not a customer success rep.

Who Mistec is for

We work best with home service contractors running 5 to 40 technicians, $1M to $20M+ in revenue, where the operational pain is real and the money to fix it is there. HVAC, plumbing, electrical, garage door, and similar dispatch-based trades are the sweet spot.

We’ve also taken custom builds outside home services — operations that depend on inbound leads, scheduling, dispatch, and follow-up tend to look the same regardless of trade. If your business runs on those mechanics, we can probably build for it.

We’re not for everyone. Solo operators with no support staff, businesses that aren’t ready to invest in their operations, or shops looking for a marketing agency to drive top-of-funnel leads — we’re not the right fit. We’ll tell you that on the audit call.
